Built for Messy Warehouse Handwriting

We know physical inventory counts are rushed. Our AI adapts to that.

Alphanumeric SKU Recognition

Item codes are complex mixes of letters and numbers. Our neural networks are trained to distinguish a '0' from an 'O' and a '1' from an 'l' in handwritten SKUs.

Column Formatting

Whether you drew lines on your paper or just left spaces, NoteOCR separates your Item Names, SKUs, and Quantities into their own distinct Excel columns.

Export as CSV for POS Systems

Download your data as an Excel file, or export it as a CSV to seamlessly upload your updated stock counts into Shopify, Square, or QuickBooks.

How We Process Physical Stock Sheets

Inventory sheets are notorious for bad handwriting and smudged ink. NoteOCR uses specialized Table Structure Recognition (TSR) to reconstruct the grid of your clipboard.

Frequently Asked Questions about Inventory OCR

1. How do I convert a handwritten inventory sheet to Excel?

Take a photo of your clipboard or stock sheet, ensuring the handwriting is in focus. Upload the photo to NoteOCR, and our AI will detect the columns, read the SKUs and quantities, and provide a downloadable Excel file.

2. Can it read rushed handwriting from warehouse staff?

Yes. Our AI is specifically trained to read messy, rushed handwriting. While extremely sloppy writing might require minor manual corrections in Excel, NoteOCR handles typical field handwriting better than any standard text scanner.

3. Does it accurately recognize complex SKUs and serial numbers?

Yes, our engine is highly capable of reading alphanumeric strings. It uses contextual AI to differentiate between similar-looking characters like the number zero '0' and the letter 'O' within SKUs.

4. Can I import this into Shopify, Square, or my POS?

Absolutely. NoteOCR allows you to download your stock count as a .xlsx file. You can simply open this file and save it as a .CSV, which is the universal format accepted by almost all inventory management and POS systems.

5. What if we just wrote the inventory on blank paper without grid lines?

Our system detects 'implicit' tables. Even if you didn't draw lines on the paper, as long as you left space between the item name and the quantity, the AI will automatically put them into separate columns in Excel.

6. Can it count tally marks?

Currently, NoteOCR reads written numbers (e.g., '14' or 'Fourteen'). If your staff uses tick marks or tallies (||||), we recommend having them write the final numeric total next to the tallies before photographing the page for the best results.

7. How do I process a 20-page inventory audit?

For individual users, you can process each page one by one and paste the results into a master Excel file. If your business regularly processes massive audits, please contact us for API access or bulk processing solutions.

8. Is the inventory to Excel converter free?

You can try the tool for free to verify its accuracy on your specific inventory sheets. For continuous use across your business, we offer professional packages designed for high-volume processing.

9. Is my company's inventory data kept private?

Yes. We operate with strict privacy protocols. Your stock sheets are uploaded via SSL encryption, processed by the AI, and permanently deleted from our servers shortly after. We do not retain your proprietary data.

10. What happens if an item quantity is crossed out and corrected?

Our OCR is trained to recognize scribbles and cross-outs. In most cases, it will ignore the crossed-out number and only extract the newly written quantity next to it. We always recommend doing a quick visual review of the Excel file.
